The Office
Manager is a task oriented and professional individual reporting tothe
Operations Manager (interim) and providing high level support andinformation
to internal staff and external stakeholders. This position is fast- paced,
dynamic in scope and demanding in nature. This position will organize and
maintain office operations and procedures and will act as acommunication
intermediary between cross-functional departments and business locations. The
Office Manager will handle day-to-day operations with a focus on efficiency and
time management, developing intra-office communication protocols,streamlining
administrative procedures, inventory control, office staff supervision and task
delegation. Your responsibilities Implement and maintain filing systems
for client profiles, employee files, production testing documents,purchase
orders and invoices; Develop and implement office policies by
setting up procedures and standards to guide the operation of the office;
ensure that results are measured against standards, while makingnecessary
changes as required; Coordinate office communications
including responding to emails and other correspondence, and interacting with
clients and stakeholders; coordinate office staff activities and allocate available
resources to ensure maximum efficiency and smooth workflow; Prepare and format internal and external
documents (i.e. letters, reports, memos, presentations, etc.) for team members
and industry partners; Schedule and monitor meetings,speaking
engagements and other appointments, ensuring there are no conflicts;manage
travel itineraries for staff members and other stakeholders as required; Maintain company records, filing systems
of paper and electronic documents, and ensure compliance with all record-keeping
requirements; Arrange facility events such as
fundraising events, and staff appreciation events, in collaboration with the
Executive Assistant; Conduct research, compile data,and
liaise with external groups on behalf of management teams as required; Analyze financial data and create
reports as necessary; Manage Office Coordinators and
Assistants and direct day to day activities; coordinate and managevendor
relationships; Monitor and maintain office suppliesand
inventory and other general office duties as required; and Uphold a strict level of confidentiality
and discretion; protect company information at all times. Requirements What you
bring: You Are an IMPECCABLE
COMMUNICATOR, professional, collaborative, articulate, coachable, reliable, and
tactful. You Are an EXCEPTIONAL
MULTITASKER, with the ability to manage multiple dynamic tasks,prioritize
various workloads and schedules, using good judgement and strong decision making
while meeting tight deadlines. You Are a PROBLEM SOLVERand
SOLUTIONS ORIENTED, with strong conflict resolution skills, ability to manage
up and down and comfortable in navigating the entrepreneurial mindset with tact
and diplomacy. ​
