Job Summary
This position requires an experienced, independently motivated secretary to provide:Administrative and clinical secretarial support for the Director of the Pacific Parkinson's Research Centre and other faculty members.To act as a resource for faculty and staff. Organizational Status
Reports to the Director and administrator. Collaborates with other faculty, research fellows, nurses and technicians.
Work Performed
Works directly for and performs duties specific to the Director of the Pacific Parkinson's Research Centre, including but not limited to: Answers the Director's phone.Determines the nature and priority of calls.Organizes Director's calendar, ensuring there is no conflict between his clinical and administrative commitments.Schedules patient appointments, confirming and rescheduling as required.Receives referrals, gathers appropriate information, creates charts and updates electronic patient records.Responds to oral and written inquiries of an interpretive nature.Types patient consultation reports, medico/ legal reports, correspondence, patient histories, reports and dictation notes or voice recordings.Completes and processes patient billing. This is all electronic through MSP, but may also include 3rd party and direct billing. Maintains billing records and reconciles statements.Categorizes and diarizes incoming mail, requests additional information when necessary and arranges material in order of priority for attention.Compiles, updates and distributes the Director's schedule of clinics for staff and fellows.Books tests like EMG, CT, MRI, etc. Prepares laboratory and test requisitions.Acts as backup person to reception as necessary for vacation and sick time relief. Schedule meetings for the core group and research group meetings. Maintain academic filing and assist with research and patient filing as necessary.Provides computer support for accessing electronic records to nursing staff.Perform other duties related to the qualifications and requirements of the job.Supervision Received
Work is performed under limited supervision. Performs duties independently and consults with administrator with reference to new or complex problems.

Supervise the work of employees in lower classification and train new staff and students on electronic medical records system.
Consequence of Error/Judgement
The incumbent must be able to work independently and within a team and exercise considerable judgement on a daily basis. Ability to communicate tactfully and sensitively , to be highly responsible and flexible. Error in performance of the above duties would result in errors would result in loss of time, money and credibility for the Centre Director and staff.
High School graduation, 1 year post-secondary education, completion of a Medical or Dental Office Assistant program (including terminology). Advanced training in office procedures and practices preferred. Be proficient in the use of electronic medical records and electronic billing including Plexia and PCIS. 3 years of related experience or the equivalent combination of education and experience. Ability to maintain accuracy and attention to detail. Ability to communicate effectively verbally and in writing. Ability to accurately maintain appointment calendars, and schedule appropriate appointments. Ability to transcribe from dictating equipment. Ability to screen calls, direct as appropriate, and take accurate messages. Ability to effectively manage multiple tasks and priorities. Ability to effectively use Outlook, MS Word, MS Excel. Ability to work effectively with minimal supervision. Ability to use electronic medical records and electronic billing. Ability of prioritize workflow effectively to meet deadlines. Medical terminology essential.
